Media Lead Stages – Overview

This guide explains what each stage in the Media Leads pipeline represents and what actions are required at each step.


New Leads

This stage includes contacts who have requested your High Value Offer (HVO).

  • If the contact provided their name and email, they are ready to begin the call process.

  • If the contact has a “Partial Information” tag, the system was unable to capture their full details. During your first call, you will need to collect the missing information and update the lead details accordingly.

Automation & Tasks:

  • Follow-up emails begin sending automatically when a lead enters this stage.

  • A call task is created 24 hours after the lead appears.

  • Once the call task is completed, the lead will move to the next stage.


Call Process

This is the second stage and indicates that outreach to the contact has begun.

  • Call and follow-up tasks will be automatically created based on the next scheduled outreach time.

  • If the contact requests not to be contacted again, update the lead status to Lost. This will:

    • Apply a Do Not Disturb (DND) status

    • Remove the lead from the pipeline

  • If the contact is not ready to proceed, you may manually move them to Long-Term Nurture.

    • As long as Long-Term Nurture is connected, the contact will be enrolled in your email drip campaign.


Booked Appointment

Contacts appear in this stage once an appointment has been scheduled on the integrated calendars.

  • Review appointment details through your Calendar and Appointment List View for additional information.


No Show / Cancelled

Contacts will move to this stage under the following circumstances:

  • The contact cancels using the cancellation link in automated emails.

  • The appointment is manually marked as No Show in the Appointment List View.

Next Steps:

  • A task will be created for your office to follow up and attempt to reschedule the appointment.


Long-Term Nurture

Contacts are moved to Long-Term Nurture if:

  • They have received all automated emails, and

  • They have not booked an appointment within 21 days of their initial request.

  • Manually moved by the office.

Status Update:

  • 7 days after the lead is moved to Long-Term Nurture, the lead status will automatically update to Abandoned and will no longer appear within your pipeline view.
